Theo Muller Ltd, trading as Muller Executive Search, is responsible for the personal data described in this policy. We process personal data in connection with executive search, candidate introductions, client mandates, and general business enquiries.
Data we collect
Depending on your relationship with us, we may collect:
- Your name, business contact details, location, and professional profile.
- Your CV, employment history, qualifications, skills, compensation expectations, availability, and career preferences.
- Notes from conversations, interviews, references, and search-related correspondence.
- Client contact details, mandate information, hiring requirements, and feedback.
- Technical information supplied through ordinary website and email security systems.
We may receive information directly from you, from clients or referrals, from professional networks, and from publicly available professional sources. We do not ask for sensitive personal data unless it is necessary for a specific lawful purpose.
When you use the confidential candidate form, your CV and the information you submit are stored so Muller Executive Search can review your profile and contact you about relevant current or future mandates.
How we use personal data
We use personal data to:
- Assess potential fit for current and future executive search opportunities.
- Contact candidates and clients about relevant mandates.
- Prepare shortlists and manage recruitment processes.
- Verify professional information and obtain references when appropriate.
- Respond to enquiries, manage business relationships, and meet legal obligations.
- Protect our systems, communications, and legitimate business interests.
Legal bases
We rely on legitimate interests where processing is necessary to conduct proportionate executive search and recruitment activity. We also rely on steps taken before entering a contract, performance of a contract, legal obligations, and consent where consent is required. You may object to processing based on legitimate interests at any time.
Sharing information
Candidate information may be shared with a client only when it is relevant to a genuine search process and after an appropriate discussion with the candidate. We may also share limited data with trusted service providers that support communications, document storage, security, and business administration. We do not sell personal data.
International transfers
Our work is European and cross-border. When personal data is transferred outside the European Economic Area, we use an available legal safeguard such as an adequacy decision or approved contractual protections.
Storage and retention
We use reasonable organizational and technical safeguards to protect personal data. Candidate and client information is kept only for as long as it remains relevant to recruitment, the business relationship, legal requirements, or the resolution of a potential claim. Records are reviewed periodically and deleted or anonymized when they are no longer needed.
Your rights
Subject to applicable law, you may request access to your personal data, correction of inaccurate information, deletion, restriction, portability, or an explanation of how it is used. You may also object to certain processing and withdraw consent where consent is the legal basis.
To exercise a right or ask a privacy question, email theo@mullerexecutivesearch.com. You may also complain to the Office of the Commissioner for Personal Data Protection in Cyprus or the data protection authority in your country.
